Overview
NYPL Digital is responsible for the digital transformation of the Library, delivering robust core patron-facing services through digital platforms. This role will support the library's Strategic initiatives as well as future Digital portfolio projects.

We’re seeking a highly motivated self starter with solid experience in Agile and hybrid product development environments. The primary function of this role will be to support the library's strategic planning, and ensure coordination and communication among working groups and Digital staff, as well as drive product development projects within the Digital department. The successful candidate will thrive working across multiple projects and competing priorities, excel at driving accountability and clarity, and be proactive in identifying and mitigating risks and issues.

We are looking for someone we can count on to:
Own:
  • End-to-end planning and coordination of strategic projects across development teams and working groups
  • Project and communication plans, timelines, and project status reports
  • Quarterly planning process for digital product initiatives, encompassing goal-setting, timeline creation, and continuous improvement
  • Collaboration and coordination with cross-functional teams to establish and achieve strategic goals, manage resources, define and protect project scope
  • Coordination of successful deployments 
  • Project documentation and reports 
Teach:
  • Simplified processes and workflows to drive optimal, efficient results
  • Best practices in iterative development and incremental improvements 
Learn:
  • NYPL's systems, tools, products, services, and organizational structure
  • The basics of library data and standard library technology
  • The Digital team's product development process
Improve:
  • Communication, dynamics, and collaboration across team, department, working groups, and stakeholders
  • Team workflows to enhance efficiency, velocity, and collaborative opportunities
  • Estimate accuracy and release frequency 
Some expectations for this role are that within:
1 month, this person will:
  • Understand the functional structure and core mission of NYPL
  • Understand the organization, roles, and culture within the Digital Team, stakeholder, and leadership groups
  • Organize project documentation and artifacts; take ownership of meetings, project deliverables, and build project plans
3 months, this person will:
  • Gain an understanding of the institutional strategy and how the projects and deliverables contribute to institutional goals 
  • Build a comprehensive, proactive communication plan 
  • Establish strong, collaborative relationships between team members, stakeholders, and leadership
  • Identify opportunities for process improvement and develop strategies to address them
6 months and beyond, this person will:
  • Lead robust, aligned, high performing project teams
  • Drive development and execution of sprint, quarterly and annual goals
  • Take responsibility for overall delivery and management of all assigned projects
Responsibilities: 
  • Define project scope, goals, deliverables, dependencies, and constraints
  • Identification and mitigation of risks and issues
  • Lead end-to-end project planning processes from inception through delivery 
  • Develop communication and capacity plans, project timelines, and status reports
  • Lead scrum ceremonies and stakeholder meetings, including ownership of agendas, goals, and action items
  • Drive quarterly, annual planning and goal setting processes
  • Monitor progress toward goals, proactively adjusting processes and plans as needed
  • Maintain accountability for committed scope, timelines, and deliverables
  • Other duties as assigned

Required Education, Experience & Skills

Required Education and Certifications 
  • PMP and/or CSM is preferred
  • Bachelor’s degree  - OR - 5 year’s experience managing software and/or web applications development projects
Required Experience
  • 3-5 years' experience managing software and/or web applications development projects
  • Experience managing AI, Drupal, or Digital Asset Management projects
Required Skills 
  • Proven ability to:
    • Proactively identify problems and find solutions
    • Deliver concurrent projects on time and budget
    • Hold team members and vendors accountable for deliverables, being comfortable pushing back and escalating when needed 
    • Work both collaboratively and independently to achieve planned results
    • Drive highly visible projects with cross-functional teams
  • Excellent verbal and written communication; strong presentation skills
  • Knowledge of industry standards in project management and development methodologies (Agile required with Shape Up and SAFe helpful)
  • Understanding of backend and frontend technologies, and latest technologies like AI
  • Excellent facilitation, organizational and time management skills 
  • Understanding of the complexities of working with legacy systems and prioritization of technical debt vs features  
  • Experience with Scrum and hybrid project delivery methodologies and a variety of project planning and tracking tools, specifically Jira
  • Other duties and projects as assigned
