Job Description

   

We are seeking a proactive and organised IT PMO Administrator to support the successful governance and delivery of IT projects. The role will focus on supporting the PMO team, ensuring project processes, tools, and reporting are effectively managed. The ideal candidate will be a confident communicator, skilled in Smartsheet, and driven to follow up on outstanding tasks to keep projects on track.

This is position is home based with occasional travel and reports directly to the PMO Director.

Focus Areas:

Smartsheet Management:

  • Develop, maintain, and update Smartsheet worksheets, dashboards, reports, and automations.

  • Set up plans in Smartsheet Control Centre to streamline project management.

  • Resolve technical Smartsheet issues and support end-users in optimising their workflows.

Project Support:

  • Assist project managers in tracking project plans, RAID logs, and outstanding tasks.

  • Follow up with technical teams and stakeholders to ensure timely completion of activities.

  • Facilitate status meetings, including agenda preparation, note-taking, and action tracking.

Reporting:

  • Generate project progress reports, dashboards, and performance updates for stakeholders.

  • Ensure accurate and timely updates to PMO governance documents.

Communication:

  • Confidently host online meetings, manage discussions, and communicate key updates.

  • Collaborate with technical teams to maintain alignment and resolve project issues.

  • Act as a point of contact for the PMO, ensuring clear and professional communication across departments.

Process and Innovation:

  • Identify process improvements to streamline PMO operations.

  • Proactively support the PMO team with ad-hoc tasks, ensuring projects are efficiently delivered.

  • Maintain punctual and organized project schedules to support project managers.

Key Performance Indicators (KPIs):

  • Timely and accurate updates to Smartsheet project plans, dashboards, and reports.

  • Efficient follow-up on outstanding tasks and actions.

  • Positive stakeholder feedback on project support and communication.

Required Skills and Experience:

  • Minimum of 3 years of experience in a PMO or project administration role.

  • Strong knowledge and hands-on experience with Smartsheet, including dashboards, reports, and automation (certification is preferred).

  • Excellent organisational and time management skills.

  • Confident communicator with experience hosting and supporting online meetings.

  • Strong problem-solving skills with the ability to resolve technical Smartsheet challenges.

  • Familiarity with project governance, reporting, and task tracking.

  • Ability to work with technical teams and stakeholders across various IT functions.
