Reporting Structure: 
Directly to the Lead Workplace and People Experience  
and Functionally to the CEO 

Main Responsibilities

As an Administrative Assistant and Office Manager, you will play a central role in ensuring the smooth organization of daily tasks while overseeing the efficient operation of the office and supporting the executive committee. 

As the Administrative Assistant: 

  • Provide administrative support to the executive committee, managing the daily operations of the executive committee 
  • Perform calendar management according to evolving business needs, including scheduling, planning, note-taking, and follow-up tracking 
  • Manage and organize the CEO's schedule, logistics, and coordination 
  • Plan and support meetings and events 
  • Act as the main contact for senior leaders and team members by setting up meetings, tracking deadlines, and ensuring the timely completion of initiatives 
  • Provide support to the executive committee (Comex) members as needed 
  • Handle confidential information regarding certain strategic matters 

 

As Paris Office Manager: 

  • Office Supplies & Equipment Management: Ensure a well-stocked and functional workspace. 
  • Coordination with External Providers: Handle maintenance, cleaning, and other service suppliers to ensure the smooth running of the office.  
  • Internal Event organization: In coordination with the other OMs, organize events to boost team culture and engagement. 
  • Internal Social Media Engagement: Contribute to animating and engaging with internal social media networks. 
  • Onboarding & Administrative Support: Assist with the onboarding process, cross office coordination or other administrative tasks, when needed.  

This role is a unique opportunity to work closely with senior management while actively contributing to the company’s optimal functioning. 

You will be the ideal profile, if you have: 

  • Experience: At least 3 years of experience as an Administrative Assistant for a high-level executive or Office Manager 
  • Languages: Excellent proficiency in French and English, both spoken and written 
  • Technical Skills: Excellent proficiency with office tools (Office Suite, electronic calendar management, etc.) 

Interpersonal Skills: 

  • Rigorous, organized, and attentive to detail 
  • Proactive and dynamic, able to handle multiple tasks simultaneously, to anticipate needs and take initiatives  
  • Discreet and reliable, able to handle sensitive information with confidentiality 
  • Excellent ability to interact with people at all levels, both internally and externally 
  • Highly available and flexible to meet the needs of the CEO 
  • Strong sense of prioritization, able to work under pressure 
  • Team-oriented with a strong sense of service 
  • Problem-solving mindset, with a proactive approach to identifying and addressing challenges
