Project Coordinator

Location: Warsaw, Mazovia Province, Poland

In this role, you will coordinate and support the successful execution of customer orders and projects, from project initiation through delivery and payment collection. You will work closely with customers, suppliers, and cross-functional teams to ensure projects are delivered efficiently, compliantly, and with a strong focus on customer satisfaction. In This Role, Your Responsibilities Will Be:
  • Coordinate all project and order-related activities to ensure customer requirements are fulfilled throughout the project lifecycle.
  • Manage relationships with internal and external stakeholders to support successful project execution.
  • Collaborate with sales, service, customer service, finance, logistics, engineering, and operations teams.
  • Enter or coordinate order placement and management activities within ERP and other business systems.
  • Participate in internal and customer project kick-off meetings and coordinate follow-up activities as needed.
  • Maintain project documentation and coordinate the completion of required contractual and technical documentation, including as-built documentation when applicable.
  • Coordinate material procurement activities and maintain communication with intercompany and third-party suppliers to support on-time project delivery.
  • Monitor project progress, communicate updates to customers, and obtain necessary approvals in accordance with company policies and revenue recognition requirements.
  • Identify project risks, support issue resolution, and lead escalation activities when required.
  • Ensure all project records and transactional documentation are accurate, complete, and audit-ready.
  • Support receivables collection and project closeout activities by proactively completing contractual requirements.
  • Drive customer satisfaction by understanding customer needs and coordinating effective solutions.
  • Contribute to continuous improvement initiatives that enhance operational efficiency, customer experience, and project delivery performance.

For This Role, You Will Need:
  • Experience coordinating projects, contracts, customer orders, or related operational activities in a dynamic business environment.
  • Strong communication and stakeholder management skills with the ability to collaborate effectively across teams and organizational levels.
  • Ability to manage multiple priorities simultaneously while maintaining attention to detail and accuracy.
  • Experience working with ERP systems, project tracking tools, or business management software.
  • Strong organizational, problem-solving, and customer-focused skills.
  • Proficiency in English and Polish, with the ability to communicate effectively with a diverse range of stakeholders.
  • Legal authorization to work in Poland.
Preferred Qualifications That Set You Apart:
  • Experience coordinating complex industrial, automation, or customer-facing projects.
  • Knowledge of project lifecycle management, order management, supply chain coordination, or customer service processes.
  • Familiarity with commercial documentation, contract administration, revenue recognition practices, or compliance requirements.
  • Experience working in a global, matrixed, or multinational environment.
  • Knowledge of continuous improvement methodologies and customer experience best practices.
  • Additional European language skills.
