Program Coordinator – HR Operations and Compliance

Overview

This role is Part Time Remote and the candidate is required to be on site partially.

Assists the HR Operations Program Manager to ensure compliance in regulatory readiness. Focus areas include, but are not limited to, employee record management, licensure, competency, registration, and certification management, remote worker program management. Partners with HR Systems to create reports and alerts for HR programs tracking, gap analysis and communication to employees leadership to ensure employment requirements are current and up-to-date. In addition, assists with collaboration with system member business partners regarding implementing HR compliance programs and systems when available to them.

Responsibilities

  • Following regulatory guidelines ensures the completeness and accuracy of HR electronic employee records by using established processes to review potential gaps and escalate when needed.
  • Manages the Evercheck platform for automated primary source and ongoing verification and tracking of clinical licenses, registrations, and certifications. Perform gap analysis and resolve.
  • For manually tracked clinical licenses, registrations, and certifications ensures primary source verification has occurred and is updated in all HR systems including entry into PeopleSoft, as well as scan into employee electronic HR records as required. Verifies certification for new hires in partnership with Life Support.
  • Utilizing HRIS reports provided, tracks and communicates to employees due to recertify their clinical licenses, registrations and certifications. Includes emailing notifications to employees, verifying and recording information manually in PeopleSoft and scanning the required documentation into the employee electronic record.
  • Utilizing reports received from automated nursing license verification systems and other sources, monitors nursing licenses that are ready to expire and communicates with department leadership and escalates to the HR Ops & Compliance Program Manager as necessary.
  • Supports HR and the organization in the coordination of Remote Worker process, including report generation, tracking employee remote agreements, leadership criteria and space worksheets.
  • Collaborates with organizational leaders to discuss their department’s remote criteria choices to understand roles and ensure alignment with similar roles.
  • Supports HR Compliance in the preparation of employee records during calendar clearing internal and external regulatory audits, particularly The Joint Commission (TJC).
  • Collaborates with Employee Relations and Talent Acquisition for full employee file checks pulled from all DH Systems (ex. OnBase,PeopleSoft, Halogen, Symplr, iCIMS, Ellkay, etc.)
  • Completes adhoc file pulls as requested (offer letters, applications, resumes).
  • Assists DH employees with Verification of Employment Requests (VOE) related to Public Service Forgiveness Loans, Department of Defense, Housing, etc.
  • Digitizes and files paper employee records in areas where such needs are required for regulatory readiness.
  • Supports Employee Relations in the tracking of HR related policy non-compliance such as flu immunizations, felony attestations, and e-learnings. Includes emailing notifications to employees and leaders and escalating to Employee Relations upon final noncompliance notice.
  • Triages employee inquires via the DH case management system answering and/or forwarding as needed.
  • Performs other duties as required or assigned
  • Qualifications

    • Bachelor’s degree in HR or equivalent work related experience required.
    • Minimum of 2 years’ experience in a Human Resources setting required.
    • Background in, or familiarity with, clinical regulatory requirements in a healthcare setting preferred
    • Excellent organizational, communications and interpersonal skills required.
    • Proficiency in Microsoft Office Suite products required.
    • Proven ability to think critically and problem solve while balancing multiple priorities.
    • A self-starter, recognizing work to be done prior to being asked.
    • Flexibility and adaptability to changing needs.
    • Proven ability to handle confidential and sensitive information with a high degree of discretion and propriety at all times.
