Department: ATHENS OFFICES

Workplace: on_site

Employment Type: full

Description

Costa Navarino is a sustainably driven destination in the Mediterranean, located in Messinia in the southwest Peloponnese. Graced with a breath-taking seaside landscape, this is a region shaped by 4,500 years of history. The Costa Navarino philosophy is driven by a genuine desire to preserve the natural beauty and heritage of Messinia. It is currently home to four 5-star hotels, The Romanos, a Luxury Collection Resort and The Westin Resort Costa Navarino at Navarino Dunes, W Costa Navarino and Mandarin Oriental, Costa Navarino at Navarino Bay.

The destination comprises several distinct sites featuring five-star hotels, luxury private residences, a world-class golf experience, and many year-round activities. Navarino Dunes is home to The Romanos, a Luxury Collection Resort, The Westin Resort Costa Navarino and Costa Navarino Residences. Navarino Bay is the setting for Mandarin Oriental, Costa Navarino, W Costa Navarino and Navarino Agora, a curated marketplace. Both sites have signature golf courses, while at Navarino Hills there are two further signature golf courses.

Costa Navarino is seeking a highly organized and detail-oriented Project Management Officer to join the Corporate Governance, Compliance & Project Management department, reporting directly to the Senior Director. The role is central to strengthening the company's governance backbone: building and maintaining the corporate repositories of policies, SOPs and projects on SharePoint and Asana, establishing the governance framework that surrounds them, and acting as Corporate Project Manager for cross-functional initiatives that sit above individual business units. The PMO will also provide structured support to internal audit activities, ensuring documentation, traceability and audit readiness across the portfolio. This is a high-visibility position that combines governance discipline, project execution and close collaboration with senior leadership

Responsibilities

Policies & SOPs Governance

  • Design, build and maintain the corporate SharePoint database of all Policies and Standard Operating Procedures, ensuring a single source of truth across the organization
  • Develop and enforce the governance framework for Policies and SOPs, including lifecycle management (drafting, review, approval, publication, periodic review, retirement), version control, ownership mapping and traceability
  • Ensure audit-ready documentation standards and consistent application of templates, naming conventions and metadata

Project Portfolio Governance

  • Design, build and maintain the corporate project database in SharePoint and Asana, providing full visibility of the enterprise portfolio across all business domains (Hospitality, Real Estate, ESG, IT & Transformation, Corporate Functions)
  • Establish and maintain the governance framework for project management, including stage-gate processes from Business Case through to closure, intake and prioritization, change control, risk management, benefits realization and executive reporting
  • Monitor timelines, dependencies, risks and milestones; produce executive dashboards and performance insights to support informed decision-making

Corporate Project Management

  • Act as Corporate Project Manager for cross-functional or enterprise-wide initiatives with no clear single Business Owner, driving them end-to-end from initiation to closure
  • Coordinate stakeholders across departments, ensure governance discipline, and maintain alignment with strategic priorities

Internal Audit Support

  • Provide structured support to internal audit activities by ensuring that policies, SOPs, project documentation and governance artifacts are complete, current and readily retrievable
  • Act as a coordination point between auditors and process owners, tracking findings and remediation actions through to closure

Tools & Continuous Improvement

  • Serve as the power user and administrator for SharePoint (document management, governance sites, permissions) and Asana (or equivalent PM tool) for portfolio tracking and collaboration
  • Continuously improve PMO tools, templates, workflows and reporting standards, leveraging Microsoft 365 capabilities (Power Automate, Power BI, Lists) where relevant

Requirements

  • Bachelor's degree in Business Administration, Engineering, IT, Finance or a related field; postgraduate qualification is an advantage
  • 6+ years of experience in PMO, project governance, corporate governance or management consulting roles, ideally within complex multi-entity organizations
  • Advanced, hands-on expertise in SharePoint is essential — including site architecture, document libraries, metadata, permissions, workflows and governance design. Familiarity with the broader Microsoft 365 ecosystem (Power Automate, Power BI, Lists, Teams) is strongly preferred
  • Strong proficiency in Asana or a comparable enterprise project management tool (e.g., Monday.com, Smartsheet, MS Project, Jira, Wrike); ability to assess, configure and administer such platforms at portfolio level
  • Solid understanding of project management methodologies and governance frameworks (Waterfall, Agile, hybrid); PMP, PRINCE2 or Agile certification is a strong advantage
  • Proven experience in the governance and lifecycle management of Policies and SOPs, including design of controls, templates and review cycles
  • Exposure to internal audit, internal controls, risk management or compliance-driven environments is a significant advantage
  • Demonstrated ability to lead cross-functional corporate projects independently, with strong ownership and delivery discipline
  • Excellent stakeholder management skills, with confidence engaging senior leadership and translating complexity into structured, executive-level reporting
  • Analytical mindset with strong attention to detail, process orientation and a continuous-improvement attitude
  • High integrity and sound judgment when handling governance, compliance and sensitive information
  • Excellent command of English and Greek, both written and verbal
