Team/Role Overview
The core function of the Operations Support Specialist (GHS UK, Europe, MEA Project Lead) is to offer functional, administrative and operational support to the team who manage Citi’s Global Hospitality Services in UK, Europe & MEA. The successful candidate will be accountable to the Management team.
GHS UK, Europe and MEA, deliver a broad array of core products as well as a significant number of services tailored to local business requirements. These products include Chauffeurs, Colleague & Client Dining, Conferencing, Fitness Centres, Reception and Vending Services. We are a dynamic and team with a wide remit, we support the entire firm and engage at every level to bring 5-star service and experiences for our colleagues and clients that strengthen “brand GHS”.
For this role; the successful candidate will be providing administrative support for the management team, assistance with their day-to-day tasks and supporting oversight of operations, with specific Project management for Citi Tower (LCT) in London and Project Waterfront South Central (WSC) Ireland. The role is based at the UK, Europe & MEA headquarters at Canary Wharf in London.
What you'll do
Managing Project Citi Tower in London and Project WSC in Dublin, supervising task timelines on site at Canary Wharf and any future projects.
Diary management for the GHS UK, Europe & MEA management team, managing team priority and maintaining focus on deliverables.
Project support: minute taking, collating and analysing data, preparing presentations, and briefing documents, co-ordination of stakeholder groups to obtain direct feedback on plans / concepts and the implementation of suggested action points as appropriate.
Monitoring the progress of partner divisions in completing any agreed actions and keeping stakeholders abreast of developments that could impact progress.
Optimisation of operating practice, developing, and maintaining the department’s extensive process flow library across our portfolio of services, cultivating best practice for operations and sharing within and across regions.
Working onsite in Canary Wharf with Citi’s Approved Vendors to ensure continuous improvement in the delivery of exceptional service in the most cost-effective manner.
Maintaining a proactive presence within the operations in London to measure service levels & key performance indicators (KPIs) in line with leading best practice.
Developing strong working relationships with other key functions on whom we rely for support, i.e., Finance, Citi Global Sourcing (CGS), Business Office Shared Services (BOSS), Citi Security & Investigative Services (CSIS), and Real Estate Services (RES).

What we’ll need from you
Demonstrable project and operational management experience within a demanding fast-paced environment.
Confident at dealing with all levels of seniority within the organisation
A desire and drive for continuous improvement, adaptable to change, genuine passion for delivering excellent services and standards
A strong team player with sound judgement and decision-making skills, planning and time management competencies
Experienced at exercising diplomacy to influence teams outside of one’s control
Strong organisational, analytical and problem solving skills. Organised, multitasker, skilled communicator, innovative, cordial, professional, patient and mature by nature.
Previous involvement in the process of contracting and managing external soft service suppliers, understanding commercial aspects of service provision and outsourcing services. Experience with setting budgets and monitoring services levels, KPIs & financial performance of contracts preferred.
Candidates would ideally have a higher education background, however exceptional candidates who do not meet the educational criteria may be considered, provided they have the necessary skills and operational experience.
Experience of MS Project and Visio preferred.
