The Global Ad Technology Department (GATD) manages the whole of the advertising systems that power Rakuten. We are a cross functional and data-driven organization working together in a diverse team spread across five countries: Japan, Singapore, India, China and UK.

We develop and maintain the comprehensive advertisement platform that allows both internal stakeholders (Rakuten Ichiba merchants) and

external advertisers (huge national and international clients) to freely manage their promotional mix and marketing campaigns. Working with

Position:

Why We Hire

We are seeking a highly skilled and experienced Project Manager to join our team and support our PMO operations while overseeing horizontal/department-wide projects. The ideal candidate will possess exceptional communication, and project management skills, with a proven track record of successfully delivering complex projects. This role will involve collaborating with various departments, stakeholders, and teams to develop and implement effective project management approach and drive operational excellence. The successful candidate is also expected to mentor junior members across the team.

 

Position Details

Cross-Functional Collaboration

- Foster collaboration and teamwork across departments and functional areas to ensure successful program and project outcomes.

- Coordinate with internal and external stakeholders to manage dependencies and facilitate seamless project execution.

- Resolve conflicts, escalate issues as needed, and ensure alignment of project deliverables with stakeholder expectations.

Horizontal/Department-Wide Projects

- Lead the planning, execution, and delivery of horizontal/department-wide projects from inception to operational handover.

- Collaborate with senior leadership, department heads and stakeholders to define project scope, objectives, and deliverables.

- Develop project plans, schedules, and resource allocation strategies to ensure successful project execution.

- Monitor project progress, identify risks and issues, and implement mitigation strategies to keep projects on track.

- Communicate project status, updates, and key milestones to stakeholders and senior management.

Leadership and Communications

- Gain the trust and maintain a good relationship with other functional organization leaders.

- Report to GATD senior leadership about the horizontal initiative progress, status, blockers, risks.

- Understand the GATD project management scheme, identify issues, suggest improvements, and give mentorship to junior members.

PMO Operations Management

- Develop and maintain PMO policies, processes, and procedures to ensure consistency/efficiency across projects and drive continuous improvement.

- Provide guidance, support, and mentoring to project managers within the organization.

- Ensure compliance with project management standards, methodologies, and best practices and identify opportunities for process improvements, innovation, and optimization within the PMO and across projects.

 

Mandatory Qualifications:

- Minimum of 8 years of related experience with a Bachelor’s degree; or 6 years and a Master’s degree; or a PhD with 3 years’ experience; or equivalent experience.

- Excellent English verbal and written communication and presentation skills, and ability to build a strong working relationship between technical and non-technical people.

- Ability to manage multiple projects at once, as required, and prioritize appropriately.

- Proven track record of successfully managing complex projects and programs, preferably in a cross-functional environment.

- Strong interpersonal, communication, negotiation, and stakeholder management skills.

- Strategic thinker with the ability to drive results and deliver business value.

- Proactive, self-starter and self-motivated.

- Perform under immense pressure.

- Experience of guiding juniors or leading a team.

 

Desired Qualifications:

- Proficient in Japanese (Conversational/Written).

- Experience in different project management methodologies.

- Project Management Professional (PMP) certification or equivalent preferred.

- Proficiency in project management tools and software (Jira, Confluence, Domo, MS Office).

- Strong skills and experience in process management and improvement.

- Advance skills in Excel for data gathering and analysis.
