ROLE SUMMARY

The Ignite Project Team Assistant (iPTA) role will be responsible for providing project level operational support to internal Pfizer Ignite project teams from project start up to close out.

Candidate should demonstrate robust collaboration & project management acumen to support the successful execution of Pfizer Ignite projects and to help advance business processes within the Ignite, Scientific Services and Operations (SSO) group. 

Reports to the Sr. Director, Scientific Planning and Operations to partner with the Pfizer Ignite Operational Leads and Pfizer Ignite Clinical Study Team Leads (iCSTLs) in the Ignite SSO group to perform project management and coordination, meeting planning, and business planning activities.

This person will work proactively to coordinate and prioritize multiple key operational tasks according to timelines and standards.  Maintaining a fundamental knowledge of the Ignite model and Pfizer Ignite projects, the role will provide operational support from the start-up to study close-out phase as well as overall infrastructure upkeep.

Role Responsibilities:

  • Management and oversight of project team shared spaces
  • Maintenance, compliance, and oversight of Data & Document Sharing Platforms for assigned projects.
  • Management and maintenance of Pfizer Ignite Project Team Rosters
  • Tracking and oversight of project level information and documentation, follow-up with SSO Operational Leads as needed
  • Scheduling of internal and external project team meetings.
  • Assistance with management of meeting materials (e.g., preparation of slide decks, note taking, drafting of minutes)
  • Liaising with cross functional project team members to e.g.
    • Initiate and coordinate the completion of project forms and data entry into various operations applications and systems.
    • Provide project level reporting to support management of project budget and timelines.
  • QC and archival of essential operational documents
  • Lead or support projects across SSO to align processes and ensure operational effectiveness, enabling productivity.
  • Work closely with the SSO team to develop and optimize specific day to day business operations.
  • Take ownership for project deliverables for non-portfolio initiatives across SSO.
  • Assist in the coordination of special projects (implementation and execution).
  • Assist in developing and logistics for communications (written, presentation, newsletters).
  • Solve problems quickly and reach a solution that works for the entire team.
  • Independently manage conflicting priorities to ensure excellent support to assigned study teams. Manages own time to meet agreed targets; develops plans for short-term work activities on own projects (timelines, work plans, deliverables).
  • Collaborate with cross functional project team members to ensure completion of assigned tasks.
  • Support SSO and Pfizer Ignite project teams, as appropriate, before and during quality assurance audits.
  • Serve as back-up for other iPTAs as part of Pfizer Ignite’s business contingency plan.

BASIC QUALIFICATIONS

 Education and Experience

  • 3 years exp with BA/BS or 1 years exp with MA/MBA/MS
  • Proficient in Microsoft office applications (Outlook, Word, PowerPoint, Excel, TEAMS, SharePoint)
  • Relevant pre-clinical and/or clinical research or clinical trial experience or relevant coursework in drug development or clinical research
  • Effective verbal and written communication skills
  • Ability to multitask and manage multiple competing priorities.

PREFERRED QUALIFICATIONS

  • Science background
  • Ability to work independently but also as part of a larger team with limited support from supervisor.
  • Self-motivated and ability to organize tasks to ensure timelines are met and deliverables are of high quality.
  • Knowledge of drug development process
  • Attention to detail evident in a disciplined approach to document review, adherence to SOPs, metrics, etc.
  • Good problem solving & decision-making skills: Ability to work in ambiguous situations within the team to identify and resolve complex problems; Seek input from others when faced with a difficult situation; Make sound decisions within the scope of responsibility; Focus on resolving problems.

  

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

  • Occasional travel for group meetings (approximately 1-2 times per year). 
  •  Flexibility to work off-hours in a global environment (when needed)

The annual base salary for this position ranges from $74,900.00 to $124,800.00. In addition, this position is eligible for participation in Pfizer’s Global Performance Plan with a bonus target of 7.5% of the base salary.
